Past meetings
Results from the Feb. 1 meeting:
Things are progressing nicely. We're looking at a few more sponsors for food. Additionally, we'll have an online registration form that will help us to get information on who needs parking passes. Erica will set that up and Jason will mail out the passes. Once the registration form is ready, Brenda will send out the invite to everyone via listervs. Brenda will serve as the contact for questions. We're capping the conference at 100 people (based on the first people to register.)
Other responsibilities:
Jason: Mail out parking passes; buy morning and afternoon snacks; ensure tech/computers/wi-fi availability; have tables available for folks to share fliers/brochures/examples of best practices; general site coordination
Jennifer: Check with KU to see if they’ll contribute $$ for snacks and let Jason know
Royce: Check with NCKLS to see if they’ll contribute $$ for snacks and let Jason know; help with registration the day of the event
Kim: Help with registration the day of the event
Jill: Help with registration the day of the event
Erin: Tagged Name Tags; supplies
Josh: Chair the next planning meeting; Manage the online registration survey
Erica: Finalize online registration survey; finalize promotional/invitation e-mail copy
Brenda: Send out promotional/invitation e-mail; Serve as the main contact for registrants; MC
At the closing session, we’ll do a quick what worked/what didn’t, but then we should also do an online evaluation a few days afterwards with a survey going out to the participants via e-mail. You all might want to discuss the evaluation survey at the next planning meeting.
Full recording of the meeting is available below, but the first activity at the conference will be to set the tag for the conference so we can pull all the blogs, flickr sets, and other content goodness surrounding the unconference together. It's so exciting!

Results from the Jan. 4 meeting:
Location update & tech support
The Unconference will be held at the Hale Library at K-State on Wednesday, March 19. The opening session will be held in the Hemisphere Room, and Jason can secure up to 6 break out rooms that can all hold at least 20 people each.
Jason will take care of the wi-fi access and K-State can provide about 20 extra laptops for people who can't bring on. Erin can bring flip charts, markers, and 2 laptops (more information is on the supplies and equipment page).
A draft agenda of the unconference is available on the Unconference Details page. Also, people with more knowledge of Mahattan are encouraged to add information to the lunch options and location, travel and parking pages on the wiki. We'll encourage people to do lunch in Aggieville (easily walkable, it's spring break so it shouldn't be too crowded). Jason will also be checking with campus people to see what options are available for parking and break food/refreshments if we were to find any funds to help support those options.
Promotional goals and plan:
Our goal is to have between 100 and 120 in attendence.
Cynthia will talk to Roseanne Siemens, KLA Executive Director to see if KLA wants to support and/or promote Library Camp Kansas in some way.
Jason is the treasurer for K-LIRT, and he'll also ask the president of K-LIRT to see if they are interested in co-sponsoring this or providing some type of funding (drinks, postcards, etc..).
Erica will touch base with NEKLS to see if they have any funds to help provide break food, help with parking costs.
Erica will start a draft of the promotional e-mail to send out to listservs and post that to the wiki. In the meantime, we should all post discussion topics as potential concepts to be discussed at the unconference to the wiki so folks will have an idea of what they might expect if they attend. We'll wait to hear from Jason and Cynthia before we send out the promotional information to listservs, but we hope to promote the unconference by at least the end of January.
